Office and operations manager for thriving biotech company

We seek for an office manager able to own and lead some supportive working conditions and environment for a 35 employees growing company.

Forward-looking and "love to help" mindset the DNA of the role.


Accounting

  • Assign and tag ‘affärsområde’ and projects to incoming supplier invoices
  • Send the supplier invoice for approval/authorization
  • Coordinate with approver/authorizer if any problems
  • Coordinate if goods is delivered
  • Creating customer invoices
  • Expenses
  • Credit cards


Onboarding new employees

  • Offboarding employees
  • Breezy (help Aymeric when needed)
  • Arbetsförmedlingen (post ads)


Purchases to the lab

  • All non recurring purchases
  • Contractors & supplier contacts


Purchases to the office

  • Recurring + non recurring purchases
  • Contractors & supplier contacts


Incoming Deliveries

  • All incoming goods


Outgoing shipping

  • All outgoing goods


Office management activities

  • Empty mailbox
  • Fob administration
  • Reporting to AH if anything needs to be fixed
  • Cleaning of premises
  • Admin for most of our software (excluding Dropbox, Benchling, ESET).
  • Filing + signing of agreements (NDA, CDA). “Commercial database“
  • Food ordering (recurring and non recurring)
  • Keeping track of inspections (health department in Solna, Electricity inspection (IF, Elektriska nämnden, Bereko, Presto)
  • Event planning
  • Travel arrangements (internal and external)
  • Keep EZ Wiki up to date

WES

  • Monthly meetings + yearly meetings with actions
  • Office security and general wellbeing
  • Surveys
  • Fire training, First Aid training
  • Evacuation list
